Deliverable Requirements
The deliverables under this agreement must be provided in the following specified format(s):

The accepted formats for Text Deliverables:
PDF
DOCX
TXT
The accepted formats for Images:
PNG
JPEG
TIFF
If the deliverable files are to large to submit by website/emailed over; please send .ZIP of compressed files to designated folder/email.
If multiple formats are required, the client shall ensure each version is provided.
Additionally, all file formats must be compatible with standard industry software and tools to ensure seamless access and usability by the Client. If specific software versions or platforms are required, they must be explicitly stated and adhered to by the company/editor.
Technical Specifications:
Text deliverables must be formatted as stated below.
Use black, 12-point, Times New Roman as the font unless stated otherwise in the project description
Use 1 inch (2.5cm) margins depending on specification of the project.
Double-spaced lines.
Paragraphs indented half an inch (1.25cm) if project specifies
Image deliverables must have a resolution of no less than 300dpi. and adhere to your project specifications.
Images must be provided in a format that preserves quality, such as PNG or TIFF, unless otherwise stated.
Additionally, all images must be free of watermarks, correctly cropped, and optimized for their intended use, whether print or digital. For digital images, metadata (e.g., alt text, title, and captions) must be included where applicable to enhance accessibility and context.
Any multimedia deliverables must comply with the project specifications listed in the deliverable and/or contract
Naming Convention:
All files must be named using the following structure:
"ProjectName_Date_VersionNumber"
Alternatively, files may be named using a unique identifier provided by the company/editor, such as a project-specific code or sequential numbering system:
“ClientCode_ProjectPhase_FileType_VersionNumber"
Delivery Method:
Deliverables shall be transmitted via Google Docs and/or cloud storage provided by Proofreading Pen, with the client uploading the files to the designated folder in the company’s cloud storage system. This ensures centralized access and streamlined submission. Deliverables must be provided by the agreed-upon deadlines.
Acceptance Criteria:
The deliverables will be deemed acceptable if they:
Meet all format and technical specifications outlined above.
Pass any predefined quality assurance checks.
Align with any supplementary guidelines provided by the Client.
Non-Compliance:
Deliverables that do not adhere to the specified format or technical requirements will be considered non-compliant and may be returned for revision at the company's expense.
This section ensures both parties have a clear understanding of the format and delivery requirements, reducing the risk of miscommunication or delays.
